The Personal Information Collection Statement

This Personal Information Collection Statement ("PICS") is provided by Petopia Travel LTD (referred to as "we", "us", or "the Company") in accordance with the requirements under the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong ("the Ordinance").

1. Purpose of Collection

Your personal data (and, where applicable, information regarding your pet) provided to us will be used strictly for one or more of the following directly related purposes:

  • Processing and managing your bookings, reservations, and arrangements for travel services, flights, accommodation, and pet relocation services;

  • Handling applications for visas, travel insurance, pet health certificates, and entry/exit permits required by relevant government authorities;

  • Submitting, processing, and managing applications, declarations, permits, licences, and other documentation with the Agriculture, Fisheries and Conservation Department (AFCD) of Hong Kong, including applications and procedures relating to the import, export, transit, and relocation of pets;

  • Providing necessary personal data and pet-related information to the AFCD and other relevant government authorities to facilitate regulatory compliance, inspections, approvals, and the completion of required import and export procedures;

  • Identifying your identity and handling day-to-day communications regarding your itinerary;

  • Responding to and processing your enquiries, complaints, or feedback; and

  • Complying with any laws, regulations, guidelines, or court orders applicable to us in Hong Kong or other international jurisdictions.

2. No Direct Marketing

We will not use your personal data for any direct marketing or promotional purposes, nor will we transfer your data to any third parties for marketing purposes.

3. Voluntary or Obligatory Provision of Data

Providing your personal data to us is entirely voluntary. However, if you fail to provide sufficient or accurate information, we may not be able to process your travel bookings, secure necessary permits, complete the required AFCD applications and procedures, or provide our services to you.

4. Transfer and Disclosure of Personal Data

We will take reasonable steps to keep your personal data confidential and protect it against unauthorized or accidental access, processing, erasure, loss, or use. However, to fulfil the purposes of collection stated in Section 1, your personal data and, where applicable, information regarding your pet may be transferred or disclosed to:

  • Airlines, hotels, overseas pet relocation agents, veterinarians, and other logistics service providers involved in your travel arrangements;

  • The Agriculture, Fisheries and Conservation Department (AFCD), other government departments, immigration authorities, customs authorities, law enforcement agencies, and statutory or regulatory bodies authorized by law to obtain such data, both locally and internationally;

  • Our agents, contractors, or third-party service providers who provide administrative, telecommunications, computer, payment, or other operational services to us; and

  • Other relevant parties where disclosure is necessary to fulfil the purposes stated in Section 1 or where required or authorized by applicable laws and regulations.

Where necessary for pet relocation services, the information disclosed may include the pet owner's identification and contact details, pet identification and microchip details, vaccination records, health certificates, and other documents required for AFCD applications, import or export permits, inspections, and regulatory compliance.

5. Access and Correction of Personal Data

Under the Ordinance, you have the right to:

  • Check whether we hold your personal data and request access to such data;

  • Request a copy of your personal data held by us, subject to applicable legal requirements; and

  • Request correction of any personal data held by us that is inaccurate.
